Please Do Not Tell People To Call Student Accounting

Hey Guys,
Student Accounting is calling me telling me our department is telling people to call about their refunds. Please do not do this. What you need to do is look on the statement and make sure that the refund has been done here. If it has tell the student/parent that it takes several weeks to be processed and they can check their my.unt. When the refund posts over there then they can contact student accounting. Questions????Pick me!!! Pick me!!!!

So I just found out...

That I have been selected to go to Capitol Day! It is this huge event where students get to go to Austin and rally for/against student issues (like upcoming budget cuts and possible hand guns on campus). Any who... it is next Tuesday and Wednesday.

** I know, short notice. I'm a horrible HA.

But I would really appreciate it if someone could cover my shift in the HA window on Tuesday (8-11) and Wednesday (8 am to 1 pm) in the Payment window. If someone could let me know ASAp (either by email, text, or commenting on this post) I would be eternally grateful. ETERNALLY GRATEFUL!

Also I've contemplated making that person cookies :)

Hey Ha's!

The sign-up sheet to go over your evaluation with Carmen is in the HA window! Please sign up asap!
Also, sign up for a time when you are not working (if possible). If you are not available for any of the remaining time slots, you can sign up for a time when you are working but make sure that you have someone else working with you at that time to cover your area.
The dates are Feb. 28 - March 4.

Hey everyone,
I am still getting emails everyday about mistakes in the payment window. Please make sure all checks have sid's on them. Please stamp and initial all checks, please make sure everything balances. Cheng Wu's Mail

We have received a package and letter for a Cheng Wu. I called Clark Hall and they got a hold of him. He will be coming by sometime soon to pick up his mail, it is on the back counter next to the printer. It would be nice to let him know to change his address, so that we don't continue to get his mail. Thanks!!

Cancellations vs. Withdrawals

Cancellation: Wanting to cancel a future contract (as of now, cancelling Fall 11 application).

If someone wants to cancel their application for NEXT year (Fall 11/Spring 12) they must send an email requesting this, we do not need to see them. Inform them that they need to read their terms and conditions, specifically section P, as it lists the cancellation information.

DO NOT talk to them at all about fees, let us coordinators handle that part.

Withdrawal: Currently living in housing, they want to move out this semester.

They must be signed in to speak with a coordinator. If they are leaving UNT, please make sure they brought a paper from the Registrar showing they are no longer enrolled. If they did not, ask them to get that paper, then come back to see us.

Reactivations/Extensions

This is a correction to Nolan's post from yesterday. We ARE taking extensions and reactivations. We were not taking them yesterday because we were adding the late fees.

In Hall Drop Boxes

Just a reminder, there are these box like things located in your halls that residents have been putting their checks in to pay for their housing. WE NEED THESE CHECKS IN ORDER TO PROCESS THEM SO THAT WE DO NOT WRONGFULLY CHARGE A STUDENT A LATE FEE (this is meant for emphasis, not anger).

Basically what I'm getting at is that we have had multiple situations where students have put their checks into a drop box, expecting for the HA to pick it up and take it to central to be processed. Alas, these checks have not been processed hence the need for this post. Let's step up our game HAs...

Lateness

While I cannot say that I'm not guilty of this myself at times, it still needs to be addressed. Let us remind ourselves that we are suppose to be working by 8 a.m. Normally that means showing up around 7:55 a.m. We all need to get in the habit of doing this so (rookies and vets alike). I understand how hard it is to wake up in the morning but let us try a little harder to be here on time from now on.

**Also, even if you are not scheduled in the morning please show up as soon as possible from your class. We have weird transition times that occasionally leaves our offices bare. Plus, your other HAs would appreciate your presence so that they can go to class themselves.

WTF stomach?

Hey Team,

I just wanted to apologize for those of you who work with me for being sick so much recently. I know me having to drop out of the office today messed up the schedule quite a bit and in addition to my stomach, my conscience felt quite upset as well. I went to the doctors and apparently I had the GI virus that is going around and it's just taking me a bit longer than anticipated to vanquish it. I don't anticipate missing anymore work though! Hope you guys have a great day.

RLA Applications Clarified

There has been quite a bit of confusion with the RLA application process. I asked Cheryl to provide us exactly what she wants to the process to be. Here it is. Straight from the horse's mouth:

"A completed RLA packet includes the Cover Sheet and 2 Reference Letters.
If it is missing the cover sheet, print hem one from housing.unt.edu
If they say one was faxed in, call x2763 and ask if the fact was received.

Do not accept anything incomplete.

Completed packet will go in the drawer labeled "RLA Applications" by my desk and place it in the file "New Apps".

Thank you if you have any questions please call x2763 or contact Cheryl."

If you get backed up on tours...

This issue seems to becoming up quite frequently lately. It is expected seeing as how it is the spring semester and more people are wanting to view the residence halls. If the person at the welcome desk is gone (or on a tour already) and you are the only one left in the HA window this is what you need to do:

1. Ask someone at the payment window. Normally there is two people there and one of them is perfectly capable of giving the tour. If there is only one person there than proceed to step 2.

2. Call the HA of that hall, see if they are available to give the tour. If they are not or they don't answer proceed to step 3.

3. See if one of the coordinators can cover you in the HA window while you give the tour. If this is not an option than proceed to step 4.

4. Call the hall, explain that we are terribly backed up on tours and that we need the HD or one of the RAs to give the tour. Direct those people to the hall.


Again, expect this to happen frequently during the spring semester so it would be best to memorize this so that you don't waste time. Any questions? Ask anyone. We should all know the answers by now :)

Mid-Level Heads Up

Good day team!

It's a new week! Sharon just wanted to give us a heads up that most of Central will be out Monday-Wednesday (or Thursday) of this week. If someone needs something, Carmen, Philip and Mike are here to help.

Also Sharon's phone has been forwarded to the x2610 line. Sharon says if someone would like to leave a message, just email it to her. If you guys have any questions ask Carmen and she will be able to direct you.

End of the Day Procedure for the Payment Window

AYYYYYYYYYY,

So we seem to be forgetting something rather important in the Payment Window lately. If the you get an over the phone payment and it is declined here is the procedure:

1. Call the people in question.
  • If they answer, that's great! Try and figure out if we have the wrong credit card information. If it is a mastercard normally the problem is that they have a spending limit.
  • If they do not answer, LEAVE THEM A VOICEMAIL! Ask them to call back by the end of the day or we will shred their information.

It is rather simple :)

On the note of shredding the information: if they do not call back by the end of the day it needs to be placed in the shred box.

RLA Applications Cont...

Hey friends,

Cheryl has asked that we turn in the RLA applications to the filing cabinet over by her desk, there is a drawer labeled RLA Applications and a folder inside the drawer labeled new applications. Also, we are only accepting applications that have 2 letters of Rec., unless they say that it is faxed. You can call back to Cheryl and see if the Letter of rec has been received.

Payment Window Fun Facts!

Here is the list of Fun Facts that Debra wanted posted to the blog...enjoy :)

  • Please be sure the student ID number or rms number is on every check you enter into the computer
  • Please be sure to stamp and initial every check you enter into the computer
  • If you take a Temp Check please be sure that the student puts the name and address on it where it would normally be imprinted
  • We do not take cash payments over 100.00 per student per day, in other words you cannot enter 100.00 four seperate times on the same day for one student
  • Always lock your drawer when left unattended and take the key with you or put in my top left hand drawer
  • Never leave the payment window unattended. If you have an emergency you can pull the window down and take care of the emergency
  • Please do not allow anyone in the payment window who does not work in A and C unless it is computer people. phone people, police etc. No friends or other RLA's that do not work for us
  • Please be sure to lock the window every day
  • Please do not stand with the door open that is a secured area

Voice Messages

Hey Guys,

Just a reminder. If you are the HA that checks the voice mail and takes the messages you are responsible for returning these calls, or if you can not (super swamped, etc.) you are responsible for letting the next person who comes in that they will need to return the calls. When you do return the calls please remember to mark on the message sheet that you did in fact return the call.

Legends and Honors

Hey all,

It seems that Honors hall is now full and it also looks like Legends is getting close. We do not have a waiting list for any of the halls. So, if someone calls asking about a waiting list. Here is an example of what you could say: In regards to Honors hall, unfortunately there is not a waiting list. I would suggest selecting your second choice hall, then you will be able to edit your application and see if honors becomes available.

Fall $400 payment plan

Hey guys,

For those asking about setting up a payment plan for Fall, we are not offering them at this time. Please remind them that there is still plenty of time for them to come up with the $400 and suggest that they ask a friend, family member etc. for assistance if they need to. If their application was cancelled for non-payment, they can call and have it reactivated once they have their $400.

Just to let everyone know, we will not do any extensions for January. Since the snow days messed up our schedule of cutting off meal plans and such, we will just make them pay for January with their February payment.

To my suprise I disscoverd that there is, apparently, a "comments" section attached to each blog post. This comments tab was utilzed by one K. Mendoza to reply that she had attempted to compleat a request (Jared H.'s fax) made by another HA. For this I thank Katie, and appologize.

I retract my statement aksing that HAs created a new post, we (I) will just have to pay closer attention to the comments section (which is miniscule in size, and thus deminishes its capacity for function).

Restricted Applications and Honors

Students trying to apply as IELI or Honors that get a message saying the application is restricted need to contact their appropriate program office (IELI or Honors) and ask to be added to the housing list. Once the IELI or Honors office has added them, they will be able to apply appropriately.

Also, Honors hall does not have a waitlist, so if someone tries to apply and it shows as full, they will need to make another choice. Until they are assigned for Fall, they can go in and edit their hall preference to see if a space opens up. Assignments for F11/S12 won't be made until the summer.

The RLA applciation site is having issues. The old application is posted. If you  get people coming in and trying to turn in transcripts and a completed paper application, please do not accept them. Shift Coverage

Traditions talking points

Good morning!

I have placed a sheet with "talking points" about the situation at Traditions this weekend. It's been added to the flip chart at the HA window desks. It is general information about the incident, please use this if you get parents or students with general questions. Anyone else that has more specific questions about their student's room or belongings you can send to Traditions. If there is an angry parent or student let me know and we can have them talk to Tom Rufer. Questions? Let me know!

Below are the talking points.

Around 9 a.m. today, a sprinkler head located in and serving the attic of Traditions Hall burst due to a frozen pipe.
·         Three floors of the north wing only received water damage.
·          Preliminary estimates are that fewer than 50 student residents and up to 12 rooms per floor (36 overall) may be impacted.
·         The south wing of the building is unaffected and continues to be habitable. Students living in this part of the residence hall were permitted to return to their rooms.
·         Power and water to the building were temporarily shut down. Both already have been restored to  south wing.
·         A restoration crew is removing standing water in the building.
·         Utilities will be restored to the north wing once the water is removed, and unaffected students residing that wing will be permitted to return to their rooms.
·         UNT administrators and housing and facility staff members are on the scene aiding residents.
o   Housing is working individually with displaced residents to recover necessary clothing and personal items and to locate temporary housing.
o   UNT will accommodate all impacted students who seek to remain on campus. Displaced students will be offered temporary housing in other university residence halls (some halls have vacancies).
o   Some affected students whose permanent residences are in the DFW area appear to be seeking shelter at home.
·         The sprinkler system will be shut down until the entire system can be tested and repaired on Monday. The fire alarm system was unaffected and is operational, and the building has been placed on a fire watch (frequent tours of the facility to ensure safety).
·         The full extent of the damage isn’t yet known.

Traditions tours

Reactivations

Hello All,

Well I hope that you have all enjoyed your Spring Break 1. I understand that this delightful break may have left some of us rusty on processes regarding reactivations.

Please be sure and always check the students statement; and be sure to check the application if you think that you are dealing with a reactivation. If it is a reactivation do not take the payment yourself. They must speak with a coordinator and then pay over the phone with the coordinators.

Just remember to pass it on!
