International Tour

Hey Team,

The Study Abroad Office called this morning to let us know that they will have a group of students from Japan coming to the university for a visit. They will be coming in on Wednesday at possibly around 3:00pm -3:30pm to see some sample rooms.

Just a heads up so that you are aware that they will be here. Questions? Let me know!

G'day mates!

Bruce Hall REAL communities

There have been some emails about Bruce Hall's REAL communities. Remember that students can apply for either music REAL community (Jazz Studies or Music Education). Because of the community style baths that are in Bruce Hall, all female students will be in one hallway and all males in another regardless of REAL community. The REAL communities will be working close together so its not that big of a deal. k? k!

  • You can apply for either music community despite gender.

So when they email or call freakin out.. just let them know what's up.

New application reactivations

Dear HAs,

When students are calling in to reactivate their applications, we can reactivate ANY new applications, this includes freshmen and transfer students. If you have a new application, regardless of whether they are new freshmen or transfer students, please follow the cancellation protocol that we have in place. The coordinators will talk to the student about their options as far as halls go, and they will have to be ready to make the payment.

Returning students we are only able to reactivate if they are ok with being in the sophomore REAL community. If they are not, they need to look for housing off campus.

Questions? Let me know!

****Clarification on returning/transfer applications****

Good morning my beautiful peeps!

Up until today, we had been under the impression that returning and transfer students could select any REAL Community. That is NOT the case.

If you have a returning student or transfer student that wants to reactivate or simply complete an application, their only options to get a spot on-campus would be either the transfer or sophomore wings in Traditions. They will not be able to sign up for any of the other REALCommunities.

Please make sure that you make note of this change.

Questions? Let me know!

Printing Skillz

What up my lil' peepz

So, we need to work on our printing skillz. Please make sure that you are sending things to the correct printer before you print.

We need to avoid printing to the coordinator office by mistake. If we accidnetly print to their office and then forget and never pick it up they dont know what or why it has been printed.

There have been receipts, etc. printed and forgoten for several days.

Solution:
Automatically set the default printer (in the payment window) to the "collections window" printer through "devices and printers".

Clark Hall Assignments

Hey Everyone,

Richard has gone through and assigned people to Clark for the fall. However due to RMS problems, batches not lining up, etc. some residents have not been assigned with the roommate they were ment to have.

If you get calls from students saying that they did not get the roommate they wanted even though their request went through, wha wha wah ,tell them to check their housing account over the next few days.

If it is not corrected by Friday tell them to send us an email and we will try to fix their assignment.

If you have any questions ask Brad.

Hugs and Bullets!
S. R. Shivers
Yes...

We all need to make sure that we are checking application types when dealing with reactivations. If you are dealing with a returner they are not allowed to reactivate. They are, however, allowed to try and change their application type to live in a REAL community.

Remeber checking applications can prevent angry parents and angry phone calls. For more information please see a coordinator (specifically Debra who we all know is our REAL coordinator) to talk about "Returners and You: How to Deal with Reactivations"

Credit Card Log

Dear Fellow Peeps,

Hello. This is a friendly (or is it...) reminder to please make sure that you are using our new Declined Credit Card Log to its full potential; a.k.a make sure that you are logging your declined transactions. There has been very inconsistent use of the log and we need to make sure that we have record of every declined transaction.

Remeber everything has a purpose! For any questions please ask Debra.

A word from Mr. Piott

Jonathan says: "
I will be out of the office Monday, June 6th through Friday, June 10th. If there is an emergency, someone will be checking my email throughout the week, and you will be contacted soon. "

This was sent to housing info. I posted it just so you know. Have a great day team!

A few rooms available for today only

Hey Team,

So James said that FOR TODAY ONLY, if you get NEW FEMALE RESIDENTS on the PHONE saying they are unable to find a room, you can check with a coordinator to see if space is available. There are a few NEW FEMALE spaces available here and there, but they are fake full. So IF a NEW FEMALE calls and says they can't find a room, hand them off to a coordinator or check to see with one if space is available. If a NEW FEMALE contacts us via e-mail, then just give them the usual answer of "continue to check blah blah blah".

If you have any questions please ask!

Hugs and bullets,

Refund Request Forms

Hey Guys,

There are instructions and 2 boxes up in the payment window on the back counter. When you are working there, please work on sorting the Refund Request forms and contacting folks. This will help us coordinators immensely, and if people are needing to cancel, we can be getting those emails in now.

If you have any questions or need any assistance please ask. Don't assume, it takes a lot more energy in the long run. :-)

Thanks!!!

When changing from Traditional to REAL

Make sure that the students specify in the email which REAL community they would like to live in before you forward it on to Debra to change. It saves her time from having to contact them again and figure out where they want to be placed.

Any questions? Ask Debra...

What we learned in staff yesterday...

I just wanted to make a quick reference so that we have it at our disposal the things that we learned at staff yesterday.

  1. When speaking about "no returning apps" do not say that this is a new policy. Also try not to give false hope that space might open up for these students. Tell them to "explore their off campus options" and if they are terribly angry send them to Debra.

  2. When speaking about blocked balances/refunds, do not tell them to contact Student Accounting. Tell the students to check MyUNT. Use phrases such as "We're in the process of transitioning". Also, refunds take anwhere from 2 to 6 weeks to be processed.

  3. When students want to dispute the charge on their account from closedown, forward them on to the hall.

  4. With meningitis reactivations, the students account can be cancelled again 10 days after their innoculation date if they haven't paid (this is not necessarily to say that it will rather that it CAN happen).

  5. If there is someone in the hall (basically we can get access) than we can give the tour.

  6. When switching application types do not give students a timeframe for when Debra will process them by. She is working through them as quickly as possible.

Any questions? Try and remember the answer.

End of Spring Hall Charges

Hey Team,

An email has been sent out to all students whose accounts resulted in charges from the hall. You can find a copy of the specific email in the HA window within the resource flip book at the front two desks.

All that you really need to know is:
If a student is emailing or calling wanting to talk about or dispute charges that were posted to their account, they need to get in contact with the front desk of their hall.

The only hand our office has in the matter is that we put the charges on the accounts. The information and what the student is charged for comes straight from the hall.

STUDENT ACCOUNTING EASY ANSWER!

Team,

Here's the plan. If ANYONE asks about their past due balance that has been sent over to student accounting DO NOT TELL THEM TO CALL STUDENT ACCOUNTING. Tell them to CHECK THEIR MY.UNT ACCOUNT. That is the answer that you should give and nothing else. So says Debra. If they don't see it, tell them they will it is just a matter of time.

Thanks you guys.

FRESHMAN OR NOT FRESHMAN?

Hey guys, so there are sure to be a lot of sticky situations ahead with our new rules regarding returning student applications and transfer students. Remember it like this.
If the student IS NOT A FRESHMAN, then they CANNOT APPLY FOR HOUSING.
This applies to transfer students as well. Transfer students cannot apply for housing either, unless it is through the transfer real community or some other real community.

Simple right? ONLY FRESHMAN CAN APPLY FOR HOUSING. NO ONE ELSE! NOT EVEN YOUR MOM.

Also make sure to remember this during tours! IT IS CRITICAL. Ask if they are freshman and if not, start telling them that they need to research their off campus housing options.

Thanks team.

Hugs and Bullets,
Joel

Johnathan Bohmier

Johnathan needs to call us and let us know what he wants to do with his Fall 2011 application. If he wants to keep it, he needs to pay his $325 down payment. If he doesn't then we need to cancel his app so we can free his spot. Either way, when he does call please make Brad aware of what his decision is.

If you have any questions please ask Brad.

Peace!

No availablility as of 10:00am 5/18/11

Hey Team,

Right now we are at a standstill as to cancellations and reactivations. If someone calls for a reactivation and they are a Incoming Freshmen ONLY, they can call back this afternoon (around 3:30ish) or tomorrow. Please keep your ears open because this time frame may be pushed back as mid-level are in meetings discussing the situation.

Recap:

No Reactivations for returners AT ALL! See below for what to tell returners per James Fairchild.

No reactivations for Incoming Freshmen until this afternoon(around 3:30ish) or tomorrow.

That is all.

Putting a stop on accepting returning student applications

Hey HAs

To bring you up to speed, as of late yesterday afternoon, we're no longer accepting returning student applications for the 2011 - 2012 Housing application.

Here are a couple of things to keep in mind related to that news:

  • Cancelled applciations for returning students wont' be reactivated

  • Any returning student attempting to apply as such will not be able to do so

What you can and should tell students that are caught in this situation:

  • We're sorry about the situation. We had to put a cap on returning applications in order to be able to have enough space fort he incoming freshmen that are required to live on campus

  • Refer them to the by-the-bed student apartments that we have relationships with to accomodate their housing needs

If you run in to angry students or receive questions that have yet to be answered, please pass that on so that we can address the situation accordingly.

Thanks.

Work Study forms for Mike

Hey guys,

Mike has informed us that there are work study forms missing. The forms come to us from the post office in a Inter-Departament envelopes (big manila envelops) with each dorm labeled on them. I am not sure if an HA misplaced them by putting them in the Hall Directors box of each dorm, but they do not go to them! They all go to Mike! Make sure to look at what is inside the envelope before putting them in hall director's boxes. If you know what happen to the forms please speak with Carmen or Mike as soon as possible.

If you don't know how the forms look like there is a sample one in the HA window above the tour logs. Thank you!

Meningitis cancellations

If you are handling a meningitis cancellation, you are able to call the UNT Health and Wellness center to investigate the reason behind why a resident has not had their meningitis application approved. Call their number and extension (3541) and you can have them look up their meningitis form. Often times it is because a) They only sent their shot record and not the UNT form and b) They perhaps didn't sign something.

In any event, Tanya or a coordinator can reactivate their application, but they will only have 10 days from that point to correct whatever issue they have with the Health and Wellness center.

Also there should be notes on the application stating whether or not they were cancelled for meningitis reasons.

If you have any questions, please ask!

Word from Carmen about Meningitis

Carmen: "I just wanted to clarify with you all about meningitis cancellations. If you have someone call or email about being cancelled because they did not get their form turned in to the Health Center in a timely fashion, they need to be either given to Tanya or one of the coordinators to be reactivated. You should never refer them back to the Health Center for a new form. Once we reactivate them, they will be able to log in again and print off their form.

Also remember to pull them up and see what’s going on rather than just assuming or taking the student’s word. By pulling them up in RMS you will be better serving them.

If you are confused about this at all please ask me or Tanya for more clarification
. "

This is in your emails as well. If you guys are still confused, as carmen has stated, ask Ask ASK!

Prepayments ONLY 5/16

ATTENTION!

We will not be taking ANY payments today except for PREPAYMENTS.

That means no payments for Spring, Summer, or Maymester. ONLY prepayments.

This is because the Housing Coordinators are currently blocking over the balances due.

We should, however, be able to take payments starting tomorrow (Tuesday) but it is not for sure yet so ask Debra!

That is all.

Section P of the terms & conditions

Good morning!

I've been meaning to post this on here for a couple of days but got side-tracked. This mainly applies to the rookies since we never really talked about it with the whole group. For summer cancellations, you do not have to referr people to section P of the terms and conditions. In the summer we do not go by that policy. As long as the students cancel their application before the term begins and before they move in, they'll be able to cancel and receive a refund. When answering emails please just let them know that you'll forward your request to a coordinator and they'll take care of it. Questions? Let me know!

Emailed Damage Deposit Refunds

I asked Debra and she said it would be helpful for us to go ahead and print out any refund requests for Damage Deposits that are emailed and file those in the payment window with the other refund forms.

Coordinators are Busy

Wazzup! (Remember when we thought that phrase was cool?)

Anywho, I was just going to notify everyone that if people come walking in for Storage sign up, that we are only suppose to sign them in if it's for maymester. Otherwise they will need to come back on Wednesday because the coordinators are currently busy blocking payments over to student accounting.

With that said we are not taking reactivations for the next couple of days because they are so busy with these blocked payments.

Unless it's absolutely important they probably shouldn't be signed in period :)

Intersession Housing

Dear People,

Questions about Intersession housing? Here is what to say.

There is no online application for intersession housing. Students can come in and speak to a coordinator about it starting the beginning of Summer II. To be able to apply for intersession, the student must connect all of the following three sessions: Summer II, Intersession, and Fall 2011. They must have an active and paid Summer II app as well as an active and paid Fall 2011 app.

Thank you!

Cancellations due to meningitis

Good morning my peeps!

As most of you know by now, I cancelled some applications in the past couple of days due to the fact that they're still missing their meningitis paperwork. If you have someone calling wanting to reactivate here's what you need to tell them:

1. They need to submit their meningitis paperwork before their application can be reactivated.
2. Once the health center receives their paperwork and approves it, they'll receive an email letting them know they are now able to continue their application.
3. They can complete their application then, and make their deposit payment.
4. We cannot process their deposit before their meningitis paperwork has been approved.
5. We cannot reactivate their application until their meningitis paperwork has been approved.
6. If they did not print off the form before their application was cancelled, contact a coordinator so that they can reactivate their application so that they can print off the form.

Another thing about meningitis:
We are unable to mail or fax a paper copy of the meningitis form. If they did not print the form out or cannot access the form, advice them to just contact the health and wellness center about what to do.

If they are not able to access the form due to a technical problem with the website, they'll need to send us an email so that we can fix it!

Questions? Let me know!

Refund Requests

Hey!

Debra would like everyone to know...

In regards to the influx of refund requests we are about to receive (particularly for the $75 damage deposit), the housing coordinators would like us to put these at the payment window.

Housing Website Down

Hey Guys,

So here is the down low on the Housing Website... It is down.

Explication:

The website is changing servers and its IP address. It takes some time for the IP address to change for everybody (students) so the website is currently down for most everybody who doesn't work in our office.
This is why it seems to work when we log on. Therefore please do not have students send emails requesting IT help. Just tell them there is server maintenance going on and the website will be back up as soon as possible.

Special Requests Summer and Fall/Spring

Now is the time we are getting requests for summer and fall. Please ensure that you are sending these requests to the appropriate coordinators for those halls. The email from the student needs to include their full name, student ID number, Hall, and what they are wanting. Example: "Hi, I am a current resident in Mozart and I want to stay in my same room for the summer. Thank you! too cool to type my name" Please write this student back, asking for their name, student id number, and current room number. Once that is received, reply letting them know you've sent it to the appropriate coordinator, and that if they are able to grant the request, they will, but there are never any guarantees. Put their RMS number or ID at the end of your email and make sure you've cc'd in the coordinator for their specific hall. If someone writes requesting a roommate or suitemate, please let them know they must both choose the same hall/room type on their applications, and that each person must email requesting the other as their room/suitemate. Send those requests to the coordinator for the hall they will be in. Questions, ask! :-)

He will be back tomorrow. If someone needs to speak to him, they can leave him a voicemail or send him an email. Thanks!

Summer Applications

Hey guys!

Just wanted to post what Carmen sent us in regards to summer applications so that we all are aware.

The summer application is now turned on and students can start applying. The rates will be online soon as well as copies provided in the office.

As a reminder, the deposit for summer application is $125 for new students and $50 for students that are returners from the previous semester. Be sure to check liability just in case a student has already had the damage deposit refunded back to them. In this case, it will be a full $125 for the deposit.

Last thing is that students will need to create an application for each of the sessions they will be here for but will only need to pay the deposit once.

If you guys have any questions or concerns feel free to ask Carmen.

End.

Tanya's desk!

Good morning!

I don't mind if you guys use my desk when I'm not here, but I wanted to ask a few things. Please leave my desk how you found it. I work a lot and have things where they are for a reason. Also, when you are done, please take your stuff with you or anything that you might have used to work, when I find things on my desk (especially paperwork) it only gets confusing to me because I don't know what to do with them and usually people don't know what they are when I ask. Questions? Let me know! Thanks!

Application Deposit Procedures

When applying a deposit to someone's account follow these steps:

  1. Click on the application tab in RMS. Click on the application for which the student is putting a deposit down on. (Be sure to select the correct application if the student has multiple applications)
  2. Click on the "Fee Paid" box. This is where you enter the payment information. DO NOT ALLOCATE THE DEPOSIT. Be sure to fill in the "items to be paid" with the correct information. Fill out the comments section. ex. "sq0000 VS F11 prepayment/KH"
  3. Click continue to process the payment.
  4. Now you are back on the application itself.
  5. Click the liability paid box. Immediately close the popup that opens because you have already entered the payment.
  6. Now you erase the expiration date on the application.
  7. Once you have done this, click continue.
  8. You have processed the payment.

Check Yourself
In order to see if you have correctly processed the deposit payment:
  • Go to the "people" tab and pull up that students account.
  • Select "accounting reports" and click on "Liability". Once this page loads, this is where you will see the students deposit payment...if you have entered it correctly.
  • If you did not enter it correctly please seek out Debra in order for her to further instruct you on how to correct it.
NOTE:
If you are working with a student that is currently a resident that wants to pay a deposit, DO NOT put it on the statement. Process the payment through the application screen.

If I have missed anything, please let me know!

Have an Fantastic Friday!

TWO THINGS :)

1) Monica and Ornella have switched rooms.
Monica is now at Victory. Ornella is now at Clark.

2) Brenda, the desk lady at West Hall, has voiced some concern over HAs not showing anything on the tour other than my room.

We need to show:
  • computer lab (boys tower)
  • lobby (point out the cafeteria and games)
  • community bath (codes are on my whiteboard)
  • study room (girls tower)
  • kitchen (girls tower)
  • laundry room (lobby)
If you don't know where these are, just come by West and I'll give you a tour! West is awesome and we need to be sure that the tours can see that :)

Turning meals back on

Hey Guys,

As for people wanting their meal plans turned back on, here's the rules:

They DON'T have to come in if:
  • We can see they are current on their statement
  • We can find their online payment with their confirmation number

In those cases bring the RMS # to a coordinator and we will get a slip to dining and have the meal plan turned back on.

They DO have to come in if:

  • We cannot see/find their payment (they have to bring proof on their own if they think they did pay)
  • They need an extension

We do not give extensions over the phone, or to parents, the student has to come into our office.

Questions? Please ask! :-)

Please Do Not Tell People To Call Student Accounting

Hey Guys,
Student Accounting is calling me telling me our department is telling people to call about their refunds. Please do not do this. What you need to do is look on the statement and make sure that the refund has been done here. If it has tell the student/parent that it takes several weeks to be processed and they can check their my.unt. When the refund posts over there then they can contact student accounting. So I just found out...

That I have been selected to go to Capitol Day! It is this huge event where students get to go to Austin and rally for/against student issues (like upcoming budget cuts and possible hand guns on campus). Any who... it is next Tuesday and Wednesday.

** I know, short notice. I'm a horrible HA.

But I would really appreciate it if someone could cover my shift in the HA window on Tuesday (8-11) and Wednesday (8 am to 1 pm) in the Payment window. If someone could let me know ASAp (either by email, text, or commenting on this post) I would be eternally grateful. ETERNALLY GRATEFUL!

Also I've contemplated making that person cookies :)

Cheng Wu's Mail

We have received a package and letter for a Cheng Wu. I called Clark Hall and they got a hold of him. He will be coming by sometime soon to pick up his mail, it is on the back counter next to the printer. It would be nice to let him know to change his address, so that we don't continue to get his mail. Thanks!!

Amy Thibodeaux's mother

If Amy Thibodeaux's mom calls us, she needs to speak to a coordinator. Thanks!!

Cancellations vs. Withdrawals

Cancellation: Wanting to cancel a future contract (as of now, cancelling Fall 11 application).

If someone wants to cancel their application for NEXT year (Fall 11/Spring 12) they must send an email requesting this, we do not need to see them. Inform them that they need to read their terms and conditions, specifically section P, as it lists the cancellation information.

DO NOT talk to them at all about fees, let us coordinators handle that part.

Withdrawal: Currently living in housing, they want to move out this semester.

They must be signed in to speak with a coordinator. If they are leaving UNT, please make sure they brought a paper from the Registrar showing they are no longer enrolled. If they did not, ask them to get that paper, then come back to see us.

Questions, please ask! :-)

Reactivations/Extensions

This is a correction to Nolan's post from yesterday. We ARE taking extensions and reactivations. We were not taking them yesterday because we were adding the late fees.

Thanks!

In Hall Drop Boxes

Just a reminder, there are these box like things located in your halls that residents have been putting their checks in to pay for their housing. WE NEED THESE CHECKS IN ORDER TO PROCESS THEM SO THAT WE DO NOT WRONGFULLY CHARGE A STUDENT A LATE FEE (this is meant for emphasis, not anger).

Basically what I'm getting at is that we have had multiple situations where students have put their checks into a drop box, expecting for the HA to pick it up and take it to central to be processed. Alas, these checks have not been processed hence the need for this post. Let's step up our game HAs...

Smalls

Lateness

While I cannot say that I'm not guilty of this myself at times, it still needs to be addressed. Let us remind ourselves that we are suppose to be working by 8 a.m. Normally that means showing up around 7:55 a.m. We all need to get in the habit of doing this so (rookies and vets alike). I understand how hard it is to wake up in the morning but let us try a little harder to be here on time from now on.

**Also, even if you are not scheduled in the morning please show up as soon as possible from your class. We have weird transition times that occasionally leaves our offices bare. Plus, your other HAs would appreciate your presence so that they can go to class themselves.

******DISCLAIMER: This is not meant to be taken rudely. Just a reminder.

Hey Team,

I just wanted to apologize for those of you who work with me for being sick so much recently. I know me having to drop out of the office today messed up the schedule quite a bit and in addition to my stomach, my conscience felt quite upset as well. Hope you guys have a great day.

RLA Applications Clarified

There has been quite a bit of confusion with the RLA application process. I asked Cheryl to provide us exactly what she wants to the process to be. Here it is. Straight from the horse's mouth:

"A completed RLA packet includes the Cover Sheet and 2 Reference Letters.
If it is missing the cover sheet, print hem one from housing.unt.edu
If they say one was faxed in, call x2763 and ask if the fact was received.

Do not accept anything incomplete.

Completed packet will go in the drawer labeled "RLA Applications" by my desk and place it in the file "New Apps".

Thank you if you have any questions please call x2763 or contact Cheryl."

End

There you have it team. Just contact her with questions. I will post this in the HA window for reference as well.

Good day to you all!

If you get backed up on tours...

This issue seems to becoming up quite frequently lately. It is expected seeing as how it is the spring semester and more people are wanting to view the residence halls. If the person at the welcome desk is gone (or on a tour already) and you are the only one left in the HA window this is what you need to do:

1. Ask someone at the payment window. Normally there is two people there and one of them is perfectly capable of giving the tour. If there is only one person there than proceed to step 2.

2. Call the HA of that hall, see if they are available to give the tour. If they are not or they don't answer proceed to step 3.

3. See if one of the coordinators can cover you in the HA window while you give the tour. If this is not an option than proceed to step 4.

4. Call the hall, explain that we are terribly backed up on tours and that we need the HD or one of the RAs to give the tour. Direct those people to the hall.

Again, expect this to happen frequently during the spring semester so it would be best to memorize this so that you don't waste time. Any questions? Ask anyone. We should all know the answers by now :)

End of the Day Procedure for the Payment Window

AYYYYYYYYYY,

So we seem to be forgetting something rather important in the Payment Window lately. If the you get an over the phone payment and it is declined here is the procedure:

1. Call the people in question.
  • If they answer, that's great! Try and figure out if we have the wrong credit card information. If it is a mastercard normally the problem is that they have a spending limit.
  • If they do not answer, LEAVE THEM A VOICEMAIL! Ask them to call back by the end of the day or we will shred their information.

It is rather simple :)

On the note of shredding the information: if they do not call back by the end of the day it needs to be placed in the shred box.

Any questions? Ask someone who cares. JK! :)

Voice Messages

Hey Guys,

Just a reminder. If you are the HA that checks the voice mail and takes the messages you are responsible for returning these calls, or if you can not (super swamped, etc.) you are responsible for letting the next person who comes in that they will need to return the calls. When you do return the calls please remember to mark on the message sheet that you did in fact return the call.

Retraction

To my suprise I disscoverd that there is, apparently, a "comments" section attached to each blog post. This comments tab was utilzed by one K. Mendoza to reply that she had attempted to compleat a request (Jared H.'s fax) made by another HA. For this I thank Katie, and appologize.

I retract my statement aksing that HAs created a new post, we (I) will just have to pay closer attention to the comments section (which is miniscule in size, and thus deminishes its capacity for function).

Thank you

Restricted Applications and Honors

Students trying to apply as IELI or Honors that get a message saying the application is restricted need to contact their appropriate program office (IELI or Honors) and ask to be added to the housing list. Once the IELI or Honors office has added them, they will be able to apply appropriately.

Also, Honors hall does not have a waitlist, so if someone tries to apply and it shows as full, they will need to make another choice. Until they are assigned for Fall, they can go in and edit their hall preference to see if a space opens up. Assignments for F11/S12 won't be made until the summer.

Traditions talking points

Good morning!

I have placed a sheet with "talking points" about the situation at Traditions this weekend. It's been added to the flip chart at the HA window desks. It is general information about the incident, please use this if you get parents or students with general questions. Anyone else that has more specific questions about their student's room or belongings you can send to Traditions. If there is an angry parent or student let me know and we can have them talk to Tom Rufer. Questions? Let me know!

Below are the talking points.

Around 9 a.m. today, a sprinkler head located in and serving the attic of Traditions Hall burst due to a frozen pipe.
·         Three floors of the north wing only received water damage.
·          Preliminary estimates are that fewer than 50 student residents and up to 12 rooms per floor (36 overall) may be impacted.
·         The south wing of the building is unaffected and continues to be habitable. Students living in this part of the residence hall were permitted to return to their rooms.
·         Power and water to the building were temporarily shut down. Both already have been restored to  south wing.
·         A restoration crew is removing standing water in the building.
·         Utilities will be restored to the north wing once the water is removed, and unaffected students residing that wing will be permitted to return to their rooms.
·         UNT administrators and housing and facility staff members are on the scene aiding residents.
o   Housing is working individually with displaced residents to recover necessary clothing and personal items and to locate temporary housing.
o   UNT will accommodate all impacted students who seek to remain on campus. Displaced students will be offered temporary housing in other university residence halls (some halls have vacancies).
o   Some affected students whose permanent residences are in the DFW area appear to be seeking shelter at home.
·         The sprinkler system will be shut down until the entire system can be tested and repaired on Monday. The fire alarm system was unaffected and is operational, and the building has been placed on a fire watch (frequent tours of the facility to ensure safety).
·         The full extent of the damage isn’t yet known.

Hello All,

Well I hope that you have all enjoyed your Spring Break 1. I understand that this delightful break may have left some of us rusty on processes regarding reactivations.

Please be sure and always check the students statement; and be sure to check the application if you think that you are dealing with a reactivation. If it is a reactivation do not take the payment yourself. They must speak with a coordinator and then pay over the phone with the coordinators.

REAL Applications: Roommates

Hello Team!

An update on applications for students who will be living in a REAL Community:

If students that have applied to live in a REAL Community want to request a roommate they will need to send us an email requesting the specific person they want to room with.

The REAL application does not allow those students to request roommates or edit their application.

The only edits they will be able to make are between REAL Communities:
  • i.e. if they want to go from a REAL in Maple to a REAL in Kerr, they can make that edit
or they can edit for meal plan changes (up until the time they have been assigned a room of course)

If you guys have questions-let me know!

Meal Plan Changes in just one box?!

If you see Dining Services putting all of the meal plan changes in Amanda's box please be a sweetheart and distribute them evenly in the other boxes too! We've asked them not to put them in just one box but it seems as though our efforts have been ignored!

Please and Thank You!

Girl Scout Cookies

Help Debra - buy some cookies.
Form is in the HA office on the supply cabinet.

Watch out for a call from Fidelity

There is a student named Ethan Lester, RMS: 75840. Fidelity will be calling to ask about what he owes, they are paying his housing and the late fee. Just keep a look out!

Details about Reactivations

Just to make sure we are all on the same page, when you have a reactivation for Fall2011. Please tell the coordinators that "you're sending a reactivation to their voicemail", let them tell you if they'll take it or to send it to their voicemail. I was still a little confused about that so hopefully we can now all be on the same page. Questions? Let me know!

Filing paperwork

Hello!

When working the HA window you will notice that above the office supply cabinet there are now three boxes. The newest box is only for withdrawal paperwork and APPROVED commuter exemption forms. Please put this paperwork in the separate box. Questions? Let me know!

Welcome!

Good afternoon!

This is the first posting for the blog. Please make sure to read the blog as soon as you come in to work (if the office is not crazy), it would also be ideal to read it at night and even on your days off. At this point we will try just using the blog and not doing any FYI emails, if this does not work we will go back to the FYI emails or maybe do both. Get to blogging!
