Sorting out the "to be scanned" pile

Hello HA's! Here's the deal... Brad asked us to start sorting through the papers in the "to be scanned" tray in the payment window. You need to sort everything in there by cancellations, withdraws, commuter exemption forms, meal plan changes, and other emails. With the other emails and cancellations you need to look the student up in RMS and write their student id number at the top of the page. Make sure you talk to Brad before you start on this project! If you have any questions, please ask Brad!

Coy of the application

This morning someone in the HA window was working with the copy of the application that we have in the office. For some reason we are now unable to find the copy and need to know where it was put, or if it was taken by mistake, please return it to the window. Thanks!

Meal Plans Off

Meal plans are now being turned off! If someone says they paid, look at their statement and make sure they only owe for April. If that is the case, you can fill out a green slip for them and send them to the dining office to have it turned back on. Anyone that comes in needing an extension for the March payment can be signed in to see a coordinator if they have a plan. There are no extensions given for April. Period. No. Nine. Huh-Uh. Nope. Ain't gonna happen. Questions, just ask!

Special Requests Summer and Fall/Spring

Now is the time we are getting requests for summer and fall. Please ensure that you are sending these requests to the appropriate coordinators for those halls. The email from the student needs to include their full name, student ID number, Hall, and what they are wanting. Example: "Hi, I am a current resident in Mozart and I want to stay in my same room for the summer. Thank you! too cool to type my name" Please write this student back, asking for their name, student id number, and current room number. Once that is received, reply letting them know you've sent it to the appropriate coordinator, and that if they are able to grant the request, they will, but there are never any guarantees. Put their RMS number or ID at the end of your email and make sure you've cc'd in the coordinator for their specific hall. If someone writes requesting a roommate or suitemate, please let them know they must both choose the same hall/room type on their applications, and that each person must email requesting the other as their room/suitemate. Send those requests to the coordinator for the hall they will be in. Questions, ask! :-)

Changes to Already Completed REAL Apps

If a student who has already paid their deposit wants to change from one type of REAL Community to another REAL Community (example: Art to RTVF) they can do that themselves through their application. Those emails do not need to go to Debra!

If you have anymore questions...ASK Debra :)

No Extensions Right Now

While we are adding late fees to accounts, we will not be giving extensions. Please have the students come back tomorrow (Wednesday, 23 March) to talk about an extension. Meal plans won't get turned off until next week, so there is no rush at this time.

Summer Applications

Hey guys!

Just wanted to post what Carmen sent us in regards to summer applications so that we all are aware.

The summer application is now turned on and students can start applying. The rates will be online soon as well as copies provided in the office.

As a reminder, the deposit for summer application is $125 for new students and $50 for students that are returners from the previous semester. Be sure to check liability just in case a student has already had the damage deposit refunded back to them. In this case, it will be a full $125 for the deposit.

Last thing is that students will need to create an application for each of the sessions they will be here for but will only need to pay the deposit once.

Tanya's desk!

Good morning!

I don't mind if you guys use my desk when I'm not here, but I wanted to ask a few things. Please leave my desk how you found it. I work a lot and have things where they are for a reason. Also, when you are done, please take your stuff with you or anything that you might have used to work, when I find things on my desk (especially paperwork) it only gets confusing to me because I don't know what to do with them and usually people don't know what they are when I ask. Phase One RLA Candidates

Hey All,

We have the Phase 1 interview sign up sheets at the HA Window. Here are the steps when the candidates call or come by to sign up for interview times.

Step 1. Cross their name off the list of Phase 1 candidates.
Step 2. Let them know about the available time slots. They must be able to attend for the entire time. 3hours.
Step 3. Put their name in one of the Boxes under the time slot they choose.
Step 4. Tell them to be on time. They don't need to be early but they do need to be there at the designated time.
Step 5. Dress: Business Casual-ish. No suit jackets or ties. No heels or skirts. Button down or blouse and nice pants, recommended. Be comfortable!

Sharon's Phone

Good afternoon!

Sharon Miller is gone for the rest of today and she has forwarded her phone to our line. If you get questions regarding Cinderella project, here's the down low:

Cinderella Project is taking place today 3/04 from 4:00 - 8:00 pm. Tomorrow from 10:00 am - 3:00 pm.

The event is taking place at Clark Grill both days. The girls do not need anything in order to get a dress. i.e. no letter of rec or proof of anything. They can get a dress even if it's not for prom. Questions? Let me know!

Application Deposit Procedures

When applying a deposit to someone's account follow these steps:

  1. Click on the application tab in RMS. Click on the application for which the student is putting a deposit down on. (Be sure to select the correct application if the student has multiple applications)
  2. Click on the "Fee Paid" box. This is where you enter the payment information. DO NOT ALLOCATE THE DEPOSIT. Be sure to fill in the "items to be paid" with the correct information. Fill out the comments section. ex. "sq0000 VS F11 prepayment/KH"
  3. Click continue to process the payment.
  4. Now you are back on the application itself.
  5. Click the liability paid box. Immediately close the popup that opens because you have already entered the payment.
  6. Now you erase the expiration date on the application.
  7. Once you have done this, click continue.
  8. You have processed the payment.

Check Yourself
In order to see if you have correctly processed the deposit payment:
  • Go to the "people" tab and pull up that students account.
  • Select "accounting reports" and click on "Liability". Once this page loads, this is where you will see the students deposit payment...if you have entered it correctly.
  • If you did not enter it correctly please seek out Debra in order for her to further instruct you on how to correct it.
NOTE:
If you are working with a student that is currently a resident that wants to pay a deposit, DO NOT put it on the statement. Process the payment through the application screen.

TWO THINGS :)

1) Monica and Ornella have switched rooms.
Monica is now at Victory. Ornella is now at Clark.

2) Brenda, the desk lady at West Hall, has voiced some concern over HAs not showing anything on the tour other than my room.

We need to show:
  • computer lab (boys tower)
  • lobby (point out the cafeteria and games)
  • community bath (codes are on my whiteboard)
  • study room (girls tower)
  • kitchen (girls tower)
  • laundry room (lobby)
If you don't know where these are, just come by West and I'll give you a tour! West is awesome and we need to be sure that the tours can see that :)

Turning meals back on

Hey Guys,

As for people wanting their meal plans turned back on, here's the rules:

They DON'T have to come in if:
  • We can see they are current on their statement
  • We can find their online payment with their confirmation number

In those cases bring the RMS # to a coordinator and we will get a slip to dining and have the meal plan turned back on.

They DO have to come in if:

  • We cannot see/find their payment (they have to bring proof on their own if they think they did pay)
  • They need an extension

We do not give extensions over the phone, or to parents, the student has to come into our office.

Reactivations

When people call to reactivate their cancelled application, please confirm with them that they are ready to make their payment right then with a coordinator. They will have to pay over the phone with their credit card immediately to have their application reactivated.

They CANNOT pay online later.
