What we learned in staff yesterday...
I just wanted to make a quick reference so that we have it at our disposal the things that we learned at staff yesterday.
- When speaking about "no returning apps" do not say that this is a new policy. Also try not to give false hope that space might open up for these students. Tell them to "explore their off campus options" and if they are terribly angry send them to Debra.
- When speaking about blocked balances/refunds, do not tell them to contact Student Accounting. Tell the students to check MyUNT. Use phrases such as "We're in the process of transitioning". Also, refunds take anwhere from 2 to 6 weeks to be processed.
- When students want to dispute the charge on their account from closedown, forward them on to the hall.
- With meningitis reactivations, the students account can be cancelled again 10 days after their innoculation date if they haven't paid (this is not necessarily to say that it will rather that it CAN happen).
- If there is someone in the hall (basically we can get access) than we can give the tour.
- When switching application types do not give students a timeframe for when Debra will process them by. She is working through them as quickly as possible.

Hey Team,
An email has been sent out to all students whose accounts resulted in charges from the hall. You can find a copy of the specific email in the HA window within the resource flip book at the front two desks.
All that you really need to know is:
If a student is emailing or calling wanting to talk about or dispute charges that were posted to their account, they need to get in contact with the front desk of their hall.
The only hand our office has in the matter is that we put the charges on the accounts. The information and what the student is charged for comes straight from the hall.

Here's the plan. If ANYONE asks about their past due balance that has been sent over to student accounting DO NOT TELL THEM TO CALL STUDENT ACCOUNTING. Tell them to CHECK THEIR MY.UNT ACCOUNT. That is the answer that you should give and nothing else. So says Debra. If they don't see it, tell them they will it is just a matter of time.

FRESHMAN OR NOT FRESHMAN?
Hey guys, so there are sure to be a lot of sticky situations ahead with our new rules regarding returning student applications and transfer students. Remember it like this.
If the student IS NOT A FRESHMAN, then they CANNOT APPLY FOR HOUSING.
This applies to transfer students as well. Transfer students cannot apply for housing either, unless it is through the transfer real community or some other real community.
Simple right? ONLY FRESHMAN CAN APPLY FOR HOUSING. NO ONE ELSE! NOT EVEN YOUR MOM.
Also make sure to remember this during tours! IT IS CRITICAL. Ask if they are freshman and if not, start telling them that they need to research their off campus housing options.

Right now we are at a standstill as to cancellations and reactivations. If someone calls for a reactivation and they are a Incoming Freshmen ONLY, they can call back this afternoon (around 3:30ish) or tomorrow. Please keep your ears open because this time frame may be pushed back as mid-level are in meetings discussing the situation.

To bring you up to speed, as of late yesterday afternoon, we're no longer accepting returning student applications for the 2011 - 2012 Housing application.
Here are a couple of things to keep in mind related to that news:

- Cancelled applciations for returning students wont' be reactivated
- Any returning student attempting to apply as such will not be able to do so
What you can and should tell students that are caught in this situation:
- We're sorry about the situation. We had to put a cap on returning applications in order to be able to have enough space fort he incoming freshmen that are required to live on campus
- Refer them to the by-the-bed student apartments that we have relationships with to accomodate their housing needs
If you run in to angry students or receive questions that have yet to be answered, please pass that on so that we can address the situation accordingly.

Work Study forms for Mike
Hey guys,
Mike has informed us that there are work study forms missing. The forms come to us from the post office in a Inter-Departament envelopes (big manila envelops) with each dorm labeled on them. I am not sure if an HA misplaced them by putting them in the Hall Directors box of each dorm, but they do not go to them! They all go to Mike! Make sure to look at what is inside the envelope before putting them in hall director's boxes. If you know what happen to the forms please speak with Carmen or Mike as soon as possible.
If you don't know how the forms look like there is a sample one in the HA window above the tour logs. Thank you!

Meningitis cancellations
If you are handling a meningitis cancellation, you are able to call the UNT Health and Wellness center to investigate the reason behind why a resident has not had their meningitis application approved. Call their number and extension (3541) and you can have them look up their meningitis form. Often times it is because a) They only sent their shot record and not the UNT form and b) They perhaps didn't sign something.
In any event, Tanya or a coordinator can reactivate their application, but they will only have 10 days from that point to correct whatever issue they have with the Health and Wellness center.
Also there should be notes on the application stating whether or not they were cancelled for meningitis reasons.

Word from Carmen about Meningitis
Carmen: "I just wanted to clarify with you all about meningitis cancellations. If you have someone call or email about being cancelled because they did not get their form turned in to the Health Center in a timely fashion, they need to be either given to Tanya or one of the coordinators to be reactivated. You should never refer them back to the Health Center for a new form. Once we reactivate them, they will be able to log in again and print off their form.
Also remember to pull them up and see what’s going on rather than just assuming or taking the student’s word. By pulling them up in RMS you will be better serving them.

Section P of the terms & conditions
Good morning!
I've been meaning to post this on here for a couple of days but got side-tracked. This mainly applies to the rookies since we never really talked about it with the whole group. For summer cancellations, you do not have to referr people to section P of the terms and conditions. In the summer we do not go by that policy. As long as the students cancel their application before the term begins and before they move in, they'll be able to cancel and receive a refund. When answering emails please just let them know that you'll forward your request to a coordinator and they'll take care of it. Questions? Let me know!

I asked Debra and she said it would be helpful for us to go ahead and print out any refund requests for Damage Deposits that are emailed and file those in the payment window with the other refund forms.
Highlight the student's ID# in the email. Be sure that you are still checking the students account before printing off the email.

If they have already been blocked on their account, still take the payment and let a coordinator know so they can unblock that amount so that it does not show as a credit on their account for housing. If you need help figuring out how much the student needs to pay, ask Ask ASK!

Wazzup! (Remember when we thought that phrase was cool?)
Anywho, I was just going to notify everyone that if people come walking in for Storage sign up, that we are only suppose to sign them in if it's for maymester. Otherwise they will need to come back on Wednesday because the coordinators are currently busy blocking payments over to student accounting.
With that said we are not taking reactivations for the next couple of days because they are so busy with these blocked payments.
Unless it's absolutely important they probably shouldn't be signed in period :)

Intersession Housing
Dear People,
Questions about Intersession housing? Here is what to say.
There is no online application for intersession housing. Students can come in and speak to a coordinator about it starting the beginning of Summer II. To be able to apply for intersession, the student must connect all of the following three sessions: Summer II, Intersession, and Fall 2011. They must have an active and paid Summer II app as well as an active and paid Fall 2011 app.
